Why a complete RFQ matters

An industrial exhaust treatment system is normally matched to a project rather than selected from a single standard description. A supplier needs enough context to understand the exhaust source, the required air movement, the available installation area, and the expected scope of supply. A structured request for quotation helps procurement teams compare proposals on the same basis and exposes missing inputs before they become schedule problems.

The goal is not to invent technical values. It is to distinguish confirmed requirements, preliminary information, and questions that still need engineering confirmation. Use the checklist below as a working document between procurement, process engineering, facility teams, and potential suppliers.

1. Define the process and exhaust source

Start with a plain-language description of the production process and the point where exhaust is captured. Identify whether the inquiry covers one source, several branches, or a combined workshop system. Attach any available process flow diagram and mark the boundary between buyer-supplied and supplier-supplied equipment.

  • Process or production step connected to the exhaust line
  • Number of collection points and whether they operate together
  • Known gas, vapor, particulate, odor, moisture, or temperature information
  • Normal, minimum, and peak operating conditions when available
  • Materials or operating events that may change the exhaust stream

Do not describe an unknown contaminant as confirmed. If sampling or analysis is pending, say so and ask what information the supplier requires before selecting a treatment approach.

2. Record airflow and operating conditions

Airflow is a central configuration input, but the number alone is not enough. State how it was obtained, the unit of measurement, and whether it represents design, measured, or estimated flow. Add inlet temperature, pressure, humidity, and concentration data only when the project team has reliable values.

3. Clarify layout, interfaces, and access

Provide the space available for equipment, duct routes, connection locations, elevation constraints, and maintenance access. Photos are useful when paired with dimensions and an explanation of what each image shows. Note indoor or outdoor placement and any site conditions the supplier should consider during enclosure and arrangement review.

4. Separate the technical and commercial scope

A useful quotation should make inclusions and exclusions visible. Ask for a scope list covering the main equipment modules, fan, ducting, cabinet or controls, connection pieces, documentation, packing, and coordination expected from each party. Do not assume that installation, civil work, electrical supply, commissioning, or local approvals are included unless the quotation says so.

5. Ask for review documents before comparison

Depending on the inquiry stage, this may include a proposal, scope table, arrangement drawing, connection information, product images, document list, and delivery plan. Request only documents relevant to the proposed equipment and verify their applicability rather than treating a general company document as product-specific evidence.

6. Create a clarification log

Before comparing price, place each supplier question and response in a shared log. Mark who owns the answer, the due date, and whether the response changes scope or price. A quotation based on fewer assumptions is easier to evaluate than a lower headline price with unclear boundaries.
